Consultation and potentially sensitive information
Some consultation information may be sensitive in nature because it can relate to medication, pregnancy, allergies, skin conditions, recent procedures or other matters relevant to treatment safety. WWI should collect only information reasonably necessary for the service and restrict access to authorised persons who need it for treatment, safety, support, administration or legal purposes.
WWI technicians do not use this information to diagnose medical conditions. WWI's at-home treatments are cosmetic beauty and wellness services and are not a substitute for medical diagnosis or treatment.
Customers under 18
WWI's current operational policy is that independent app accounts, bookings and device-led at-home facial services are for customers aged 18 or over. This avoids inconsistent under-age rules across the different devices and technologies used in WWI protocols.
A separate treatment for a person under 18 should not be offered unless WWI has first approved an under-18 protocol for that service, verified the applicable manufacturer instructions, obtained the required parent or lawful guardian consent, and completed any additional clinical or legal review considered necessary.
WhatsApp and telephone communications
If you communicate with WWI through WhatsApp, telephone or another messaging service, WWI may process your mobile number, profile information made available by the service and the content of your communications. The communications provider may separately process information under its own terms and privacy policy.
WWI may use WhatsApp for appointment coordination, confirmations, customer support, payment-link sharing and other service communications. Marketing communications should be sent only where permitted and with any consent required by law.
Payments
Payments may be processed by third-party payment service providers. WWI may receive the transaction amount, status, reference number and related reconciliation information. Customers should never be asked to provide a card PIN, CVV, UPI PIN, OTP or online-banking password to a WWI technician or team member.
WWI's payments are processed by Razorpay. WWI receives the transaction amount, status and reference number, and does not store card, UPI or online-banking credentials.
Sharing of personal data
- • WWI technicians and authorised employees or contractors who require the information to provide or support a service.
- • Hosting, app, CRM, analytics, communications, payment, customer-support and other vendors supporting WWI's operations.
- • Professional advisers, auditors, insurers and consultants where reasonably necessary.
- • A dermatologist or other qualified professional where a consultation or safety escalation is requested, authorised or otherwise permitted.
- • Government authorities, regulators, courts, law-enforcement agencies or other persons where required or permitted by law.
- • Parties involved in a lawful corporate restructuring, investment, acquisition, financing or sale, subject to appropriate safeguards.
WWI does not sell personal data to advertisers.
Data retention
WWI will retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including service delivery, treatment and safety records, customer support, payment and tax records, dispute resolution and legal claims.
Security
WWI will use reasonable technical and organisational safeguards appropriate to the nature of the information handled. Measures should include role-based access, secure account administration, confidentiality obligations, restricted access to consultation records, device and password controls, vendor due diligence and incident-response procedures. No electronic system can be guaranteed to be completely secure.
Your choices and rights
Depending on the law in force and applicable to the relevant processing, you may have rights to receive information about processing, seek correction or updating, request erasure in applicable circumstances, withdraw consent where processing is based on consent, nominate another person in circumstances provided by law, and raise a grievance.
Requests can be made through the Privacy & Grievance Contact at info@wellnessswave.com. WWI may verify your identity before acting on a request. Withdrawal of consent does not affect processing lawfully carried out before withdrawal and may affect WWI's ability to provide a service that requires the relevant information.
Cookies, analytics and app technologies
WWI's website or app may use cookies, analytics tools, software development kits, push-notification services or similar technologies for essential functionality, security, performance and analytics.
At present the WWI website sets no tracking cookies and runs no analytics. The WWI app uses crash and error reporting with personal data filtered out, and push-notification services. If WWI adds analytics or advertising tools, this section and any cookie notice will be updated to name them.
International processing
Some providers used by WWI may process or store data outside India. WWI will handle cross-border processing in accordance with applicable Indian law and any restrictions or requirements notified by the Government of India.
Third-party services
WWI's website, app or communications may link to or integrate with third-party services. Those third parties may have their own terms and privacy practices. WWI is not responsible for an independent third party's processing outside WWI's control.
Changes to this policy
WWI may update this Privacy Policy to reflect changes in law, vendors, technology, services or business practices. The current version should display its effective date, and users should be informed of material changes where required.
Governing legal framework
This policy is intended to be reviewed against applicable Indian privacy and information-technology law, including the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 as their provisions come into force, together with other applicable rules and obligations.
